Regular sources of information

The information relating to the customers is gathered from the customers in connection with e.g. tenders, orders, contracts and other contacts, and also from the information that is stored or will be stored in the context of the customers’ use of services or products.

All customer contacts can be stored. Stored information is used for e.g. verification of transactions, complaint handling and customer service development.

Personal data may also be collected, stored and updated from the Population Register Centre, from Suomen Asiakastieto Oy and from any other controller register providing address, update and other similar service. The data are also updated on the basis of the rules published by the Finnish Energy Industries regulations regarding information exchange on electricity markets.

Regular data disclosure and data transfer to outside the EU and the European Economic Area

The information from Caruna Espoo Oy’s customer register is not disclosed to parties outside the Fortum Group. Customer information may be disclosed to Caruna Espoo Oy’s service providers which have an agreement on managing services for Caruna Espoo Oy. Service providers are required to comply with the data protection and confidentiality provisions according to the law and industry guidelines.

Caruna Espoo Oy uses a common customer service system together with Caruna Oy and Fortum Markets Oy. Confidentiality provisions according to the law and industry guidelines must be complied with in terms of the use of information in the customer service system. The information may be disclosed to the authorities in accordance with the current law. The information from Caruna Espoo Oy’s customer register is not transferred outside the EU and the European Economic Area.

Register data protection principles

Customer register data is collected in databases which are protected by firewalls, passwords and other technical means. Only personnel employed by Caruna Espoo Oy or authorised operators who need the information in their work have access to the information. Caruna requires its personnel and partners to commit to the confidentiality of customer information. They have usernames and passwords. The files in manual format are kept at locked and monitored premises occupied by Caruna Espoo Oy.

Right of access, prohibition and rectification

According to Section 26 of the Personal Data Act, the customer has the right to access his/her personal data and demand rectification of incorrect information in the register.
